This policy explains what information TheWebVale ("we", "us"), a studio based in Patel Nagar, Bhopal, Madhya Pradesh 462022, collects when you visit thewebvale.com, fill in a form, chat with our assistant, apply for a job, join a course or contact us on WhatsApp, and what we do with it. We follow India's Digital Personal Data Protection Act, 2023.
1. What we collect
- What you give us in forms: your name, phone or WhatsApp number, email, company, city, budget and project details (quote and contact forms); your details and chosen course or batch (cohort and course enrolment); your details, portfolio or profile link and note (job applications); your email (newsletter).
- Account details: if you sign in with Google, your name, email address and profile picture from your Google account.
- Assistant chats: the messages you type into the website assistant, and any contact details you choose to share there.
- Where you came from: the page you landed on, the referring website, and campaign tags in the link (such as utm_source, gclid or fbclid). We keep these in a first-party cookie so we know which advert or post brought an enquiry.
- How the site is used: pages viewed, buttons clicked, device and browser type, and approximate location, collected through Google Analytics.
- WhatsApp, phone and email: the messages and call details you send us when you contact us directly.
We do not ask for payment card details on this website, and we do not knowingly collect data from children under 18 without a parent's consent.
2. Why we use it
- To reply to your enquiry, prepare a quote and deliver the work you ask for.
- To enrol you in a course or cohort, share batch details and give placement support.
- To review job applications and contact applicants.
- To send the newsletter, only if you subscribed. You can unsubscribe at any time by emailing us.
- To understand which pages and campaigns work, and to fix and improve the website.
- To keep the website secure and prevent spam and misuse.
We use your information only for the purpose you gave it to us, or as the law requires. We never sell it.
3. Cookies and similar storage
- Essential: keep you signed in, and remember things like a dismissed announcement or that the assistant has already greeted you.
- Attribution: a first-party cookie that remembers how you reached us (kept for up to 12 months).
- Analytics: Google Analytics cookies (names starting with
_ga) that measure visits. You can block them in your browser settings or with the Google Analytics opt-out add-on.
Blocking cookies will not stop you reading the site, but you may need to sign in again.
4. Who processes it for us
We use trusted service providers who handle data only to run our services:
- Vercel: hosts the website.
- MongoDB Atlas: stores form submissions, enrolments, applications and accounts.
- Google: Analytics, Google sign-in, and the embedded Google Map.
- Groq: generates the website assistant's replies from the messages you type.
- GoDaddy: our business email, which sends us notifications of new enquiries.
- WhatsApp (Meta): when you message us on WhatsApp.
Some of these providers store data outside India. We also share information when you ask us to, when the law requires it, or to protect our rights.
5. How long we keep it
We keep enquiries and client records while we are working together and for up to 3 years after, unless tax or other laws require longer. Job applications are kept for up to 12 months. Google Analytics keeps usage data for at most 14 months. You can ask us to delete your data sooner (see below).
6. Security
Data is sent over HTTPS, stored with access controls, and only the people who need it to do their work can see it. No system is perfectly secure, but if a breach affects your data we will tell you and the authorities as the law requires.
7. Your rights
You can ask us to:
- tell you what personal data we hold about you and how we use it;
- correct or complete it;
- delete it, or stop using it for marketing;
- withdraw a consent you gave earlier;
- name someone to act on your behalf.
